With a reputation for delivering exceptional experiences across the country, we’re looking for someone who loves both the craft and the chaos of events—someone who thrives on spreadsheets and bump-ins, logistics and hospitality, structure and spontaneity. THE GIG:
The Event Coordinator is the operational heartbeat team, supporting our producers, systems, data and on-the-ground crew. You’ll keep things organised behind the scenes, ensure producers have what they need, manage event platforms and compliance, and jump in boots and all, to help deliver the tour.

This role is ideal for someone who loves details, clear communication, tidy digital systems, and the buzz of live events. You’ll work closely with producers, the production team, and the wider event crew to ensure every city runs smoothly, safely, and with that signature Mould X Pinot Palooza warmth.

Your responsibilities will include:

  • Manage producer admin, onboarding, communication, and compliance documentation
  • Set up, support, and report on Zeller POS across all cities
  • Prepare sales summaries and maintain accurate event data and website updates
  • Coordinate event admin tasks including signage logs, equipment lists, and ticketing support (Humanitix)
  • Assist with council compliance documentation and support the Production team with planning
  • Provide on-the-ground support during bump-in/out and event days, assisting producers and FOH teams and agency staff.

Requirements: To excel in this role, you will need:

  • Previous experience (2+ years) in event coordination, event planning, hospitality, operations or related fields.
  • Strong organizational and multitasking skills, with strong attention to detail. 
  • Excellent communication and interpersonal skills to liaise effectively with producers, staff, and event attendees.
  • Confident with data entry, digital systems, and administrative tasks.
  • To work within a small team and independently
  • Flexibility to travel interstate for event preparations and execution.
  • Happy to get hands on, you know events are physical.
  • Drivers license essential, forklift, first aid or RSA a bonus.

Location: While we welcome applications from candidates based across Australia, we are particularly interested in candidates based in Melbourne due to the event’s headquarters being situated in the city.
